This handbook is provided by the Region VII Executive Secretary. It was designed to help directors fill out UIL contest entry forms. Basic necessary information for entering region music contests has been included.
GENERAL ENTRY REQUIREMENTS
1. Changes in UIL rules and regulations may have been made. The University Interscholastic League Constitution and Contest Rules 2007-2008 is the OFFICIAL HANDBOOK.
2. Judges for each contest are secured, insofar as possible, from the recommended list of prospects as submitted by the directors in the region. UIL requirements are adhered to in the employment of judges.
3. Each site will have a contest host, but the official contest chairman will be the Executive Secretary. All entry forms must be mailed to the Executive Secretary.
4. Directors shall enter all contest online. The online entry shall be submitted no later than 30 days prior to the first day of a particular contest..The use of a buffer date deadline which is thirty-five (35) days prior to the contest is encouraged, allowing opportunity for correction of entries prior to the official deadline. In addition to the online entry, certain hard copies of forms is still required. The form 1A computation form is a required document. It is to be postmarked or in the hands of the executive secretary or his designee 30 days prior to the first day of a contest. If the deadline falls on a Saturday or Sunday, the postmark will have to be the Friday PRIOR to the deadline. In addition to the form 1A certain other forms are also to be included. The form 1 (roster of eligible students) is required to be turned in prior to the students' actual performacne. The Statement of Compliance (summer rehearsals) form is required for all marching entries along with the Letter on Intent to enter Area Marching Contest in the appropriate years. A Parent/Student Acknowledgement Form should be on file with the director for each marching band student. Additionally, Announcer's Scripts should be sent in either to the executive secretary or the contest chairman well in advance of the marching contest.
5. Correct entries are the responsiblilty of the director. Please enter contests well in advance of the official deadline so that if errors are discovered they can be corrected. When an online entry form has been prepared and the submit button has been activated, the entry willl then be in the hands of the executive secretary.
6. Correct fees are the responsibility of the entering school. Entry fees must be paid by a school check made payable to REGION VII UIL MUSIC. Since you know the dates and entry fee amounts well in advance of the contests, please plan ahead and request your checks well in advance. Please do not send cash or personal checks. Form 1A is available on the region web site and is to be used for all contest entries.
7. Hard copies and checks are not required to be sent by certified mail but some sort of proof of mailing might be utilized.
8. Schedules for the contest will be sent to the directors by the contest host approximately 10 days prior to the contest.
